Privacy Policy

AiVoiceHost ("we," "us") provides a 24/7 answering and customer-communication service for local businesses. This policy explains what information we collect when you use aivoicehost.com, how we use it, and the choices you have — including how to withdraw consent to be contacted.
What we collect
When you request the Free 30-Day Pilot Program or analysis through the form on our home page, we collect the information you provide:
- Contact details — your name or business name, email address, and phone number.
- Business information — business address, website URL, business hours, and any notes you add about your business or goals.
- Consent record — when you check the consent box, we record a timestamp and your IP address along with the exact version of the consent text you agreed to. We keep this as proof of your consent.
Call recordings and transcripts
Ai VoiceHost provides an AI receptionist that answers calls placed to phone numbers our business clients forward to us. Those calls are recorded and machine-transcribed.
What we collect: the call audio, a written transcript, the caller's phone number, the time and length of the call, and a short summary of what the call was about.
Who it comes from: people who call our clients' businesses. Callers are not our own users and have no account with us.
How they are told: before any recording begins, every call opens with a spoken notice that the caller is speaking with an AI assistant and that the call is recorded. That spoken notice is the point at which consent is given.
Why we collect it: to answer the call, take the message, book the appointment, and report the result to our client.
How long we keep it: call audio and transcripts are retained for 90 days and then deleted. Records needed to document consent or meet legal obligations may be retained longer.
Who sees it: the business you called, Ai VoiceHost staff, and the service providers we use to place, record, and transcribe calls. We handle this information for that business and only to provide its service. We do not sell it and we do not use it for advertising.
Deletion and access: to request a copy or deletion of a recording of your call, email privacy@aivoicehost.com with the number you called from and the approximate date.
Site chat and voice widget
Some pages on this site — including Meet Ellen and Demos — embed a live chat/voice widget so you can talk with our AI receptionist, Ellen, directly on the page. That conversation is recorded and/or transcribed.
What we collect: the chat transcript and/or call audio and transcript, the time of the session, and any information you volunteer during the conversation (for example, your name, business, or contact details).
Who it comes from: visitors to this site who choose to open and use the widget.
How you are told: before the conversation begins, the widget opens with a spoken or written notice that you are speaking with an AI assistant and that the session is saved or recorded. That notice is the point at which consent is given.
Who processes it: the widget is powered by GoHighLevel (GHL), our chat and voice-widget platform, acting as our processor. We do not sell this information and do not use it for advertising.
Why we collect it: to answer your question, understand what you need, and follow up if you ask us to.
How long we keep it: widget sessions are retained for 4 years, consistent with Florida's deceptive-and-unfair-trade-practices recordkeeping window, and then deleted. Records needed to document consent or meet legal obligations may be retained longer.
Deletion and access: to request a copy or deletion of a widget conversation, email privacy@aivoicehost.com with the approximate date and, if known, what page you used.
Cookies and advertising tracking
This site uses one optional advertising tracker: the Meta (Facebook) pixel. When enabled, it sets cookies and shares information about your visit — such as the pages you view and a browser identifier — with Meta Platforms, Inc. so we can measure our advertising and reach people who visited our site. Meta may use this information as described in its own privacy policy.
The pixel is off by default. It loads only after you choose Accept in the cookie banner. If you choose Decline, or make no choice, no Meta code loads and no advertising cookies are set. Your choice is stored in your browser (localStorage) and honored on every page of this site.
Changing your mind: use the Cookie preferences link in the footer of any page to reopen the banner and change your choice at any time. Clearing your browser storage also resets it.
What the banner never touches: essential, functional features — including the Ellen chat/voice widget described above and the get-started wizard — work regardless of your cookie choice. They are the service you are asking this site for, not advertising trackers.
If you arrive from one of our ads: we capture the ad-click identifier from the page address and hold it in your browser's session storage — no cookies are set, and it is discarded when your browsing session ends. If you then submit an enquiry, we attach that identifier to your enquiry and send Meta a server-side report of the enquiry event, including that identifier and your contact details in hashed form, so we can measure which ads lead to enquiries. That happens because of the form you chose to submit, not because of cookies, and it applies regardless of your cookie-banner choice.
How we use it
- To contact you about the service you requested — your Free 30-Day Pilot Program, website analysis, or demo.
- To set up and activate your website, answering service, and related tools.
- To follow up on your request and keep you informed about your account.
We do not sell your personal information.
Communications consent (phone, AI voice, SMS, email)
When you check the consent box on our form, you agree to the following:
"I agree that AiVoiceHost may contact me at the phone number and email I provide — by phone, AI voice call using automated technology and an artificial or prerecorded voice, text message (SMS), and email — including appointment reminders, service and account updates, replies to my enquiry, and marketing and promotional messages about AiVoiceHost services. Consent is not a condition of purchase. Message frequency varies, up to 12 messages per month. Msg & data rates may apply. Reply STOP to opt out, HELP for help. See our Privacy Policy and Terms of Service."
This means we may reach you by phone call, automated AI voice call, text message (SMS), and email about the service you requested. Your consent is not a condition of purchasing anything, and message and data rates may apply to texts.
Message frequency varies, up to 12 messages per month. Message and data rates may apply. Reply STOP at any time to opt out; reply HELP for help. Carriers are not liable for delayed or undelivered messages.
Opting out of SMS
- Reply STOP to any text message from us to opt out of further texts. You'll receive one final message confirming your opt-out.
- Reply HELP to any text message for assistance.
- You can also withdraw consent for any channel at any time by emailing support@aivoicehost.com or calling 904-365-7290. We honor withdrawal by any reasonable means within 10 business days across all channels.
Your data belongs to you
Your data is yours. If you ever leave, you take everything with you — your contact records, your customer data, all of it. We export it and hand it over. No lock-in, ever.
Sharing
We share information only with the service providers we use to run our business (for example, hosting, telephony, and customer-management tools), and only as needed to deliver the service you requested. We never sell your information to third parties.
Text messaging opt-in data and consent records are excluded from all sharing. We do not share, sell, rent, or otherwise provide your mobile phone number, your SMS opt-in, or your messaging consent data to any third parties, affiliates, or lead generators for marketing or promotional purposes. All of the sharing categories described above exclude text-messaging originator opt-in data and consent — that information is not shared with any third party.
Changes to this policy
If we make material changes to this policy, we'll update the effective date above. The consent text you agreed to is versioned, so your original consent record always reflects exactly what you agreed to.
